Terms of Service

1. Acceptance of Terms
By accessing or using StaPilot ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. These terms apply to all users including property owners, managers, and guests.
2. Description of Service
StaPilot provides a guest experience platform for vacation rental properties, including AI concierge chat, welcome videos, smart home tutorials, direct rebooking, and optional hardware (Fire HD tablet bundles). The Service is provided on a subscription basis.
3. Account Registration
You must provide accurate information when creating an account. You are responsible for maintaining the security of your account credentials. You must notify us immediately of any unauthorized use. You must be at least 18 years old to use the Service.
4. Subscription & Payments
- Software subscriptions are billed monthly at $29/property
- Hardware bundles are a one-time purchase of $249 plus monthly software fees
- Free trials last 14 days with no charge
- Payments are processed securely through Stripe
- You may cancel your subscription at any time; access continues until the end of the billing period
- Refunds for hardware are available within 30 days of delivery if returned in original condition
5. Property Owner Responsibilities
As a property owner using StaPilot, you agree to:
- Provide accurate property information and content
- Ensure content you upload does not violate third-party rights
- Honor direct bookings made through the platform
- Maintain accurate calendar availability
- Comply with local laws regarding vacation rentals and guest data
6. AI Concierge
The AI concierge provides automated responses to guest inquiries. While we strive for accuracy, AI-generated responses may occasionally contain errors. StaPilot is not liable for actions guests take based on AI recommendations. Property owners should review and customize AI knowledge bases for their properties.
7. Direct Bookings
StaPilot facilitates direct bookings between guests and property owners. StaPilot acts as a technology provider and is not a party to the rental agreement between guest and owner. Property owners are responsible for their own booking terms, cancellation policies, and guest communications.
8. Intellectual Property
You retain ownership of content you upload (videos, images, property descriptions). By uploading content, you grant StaPilot a license to display it within the platform. StaPilot's software, branding, and platform design are our intellectual property.
9. Limitation of Liability
StaPilot is provided "as is" without warranties of any kind. We are not liable for indirect, incidental, or consequential damages. Our total liability is limited to the amount you paid for the Service in the 12 months preceding the claim.
10. Termination
We may suspend or terminate your account for violation of these terms. You may close your account at any time. Upon termination, your data will be retained for 30 days before deletion, allowing you to export your content.
11. Governing Law
These terms are governed by the laws of the Province of Ontario, Canada. Any disputes will be resolved in the courts of Ontario.
12. Changes to Terms
We may update these terms from time to time. We will notify you of material changes via email or through the platform. Continued use after changes constitutes acceptance.
